Job Summary
Full-time position based in Conroe, Texas at Conroe-North Houston Regional Airport. CXO MX, LLC, an aircraft maintenance shop and wholly owned subsidiary of High Performance Aviation, LLC, is seeking a dedicated Administrative Assistant with strong customer service and sales aptitude. This role is essential for the efficient operation of our maintenance shop in a fast-paced environment where client satisfaction is our priority.
Key Responsibilities:
- Client Relations & Sales Support: Serve as the first point of contact for customers, handling inquiries professionally while identifying upselling opportunities for maintenance services.
- Customer Communication: Manage comprehensive customer correspondence through phone calls and emails, ensuring exceptional service experience that builds client loyalty.
- Sales Process Support: Assist with converting customer inquiries into service bookings, following up on quotes, and helping maximize service revenue.
- Customer Account Management: Maintain detailed customer records and develop relationships that encourage repeat business.
- Service Scheduling: Coordinate with customers to arrange maintenance appointments that accommodate their needs while optimizing shop workflow.
- Sales & Service Coordination: Liaise between customers and technicians to ensure clear communication about service options and customer preferences.
- Invoice Management: Handle billing processes and payment collection, ensuring accurate representation of services to maximize customer satisfaction.
- Parts Sourcing & Customer Options: Present customers with parts and service alternatives at different price points.
- Digital Customer Engagement: Assist with maintaining online presence and responding to customer reviews and social media inquiries.
- Administrative Support: Manage general office duties, filing, and other tasks that support the customer service and sales process.
- After-Hours Support: Provide occasional overtime and weekend remote customer support to ensure continuous service availability for clients with urgent maintenance needs.
Qualifications:
- Previous customer service experience, preferably in a service-based or technical environment
- Sales support or direct sales experience highly valued
- Demonstrated ability to build customer relationships and handle client interactions professionally
- Experience with CRM systems or customer database management
- Proficiency in computer use, including Microsoft Office, and strong internet research skills
- Exceptional organizational skills, with the ability to multitask and prioritize effectively
- Strong communication and interpersonal abilities, comfortable working both independently and collaboratively
- Detail-oriented with a keen interest in learning aviation industry terminology and maintenance processes
- Professional attitude and capable of maintaining confidentiality in client and supplier interactions
- Willingness to provide occasional overtime and weekend remote support for customer service emergencies
Schedule Requirements:
- Primary hours: 8 am - 5 pm, Monday-Friday (in office)
- Required availability for occasional overtime as needed
- Weekend remote support on rotation for urgent customer inquiries
- Flexibility to respond to high-priority client needs outside regular business hours
Additional Information:
- Primary role is in-office at our Conroe, Texas location
- Remote work available only for scheduled after-hours support
